Marking invoices as received/paid

In the Simplbooks system you can manually mark purchase and sales invoices as received/paid (it is done the same way for a sales invoice on the basis of a purchase invoice). Let’s look at this option on the example of a sales invoice.

1. Open “OPERATIONS” and select “Invoices”.
2. Find the desired client and invoice through the search filters.

3. Click the three dots on the right and select “Mark as Paid”.

Or open the invoice by clicking on it, then click “Actions” in the upper-right corner and select “Mark as Paid”

4. If the payment for the invoice has not been entered previously, the program defaults to suggesting the invoice amount as the new receivable. If necessary, adjust the amount (if it was partially paid). Enter the correct bank account or cash register and the receipt date. If a larger (excess) amount is received, the system links the remaining amount to the customer.

If a payment was entered earlier (e.g., an advance payment), the program will first suggest linking the existing payment to an invoice. You can always change this selection to “New Payment.”

You can find payments not linked to an invoice under: Operations > Receipts.

The unlinked part is displayed on a yellow background. To link payments to an invoice, follow the steps described above, or you can open the payment and click “Bind to an Invoice” in the top-right corner— this will open a linking window where you can select which invoices you want to link to the payment. Click “Bind receipt to invoice”
